MailFluently uses Polar as our Merchant of Record (MoR) for all payment processing. This Refund Policy outlines the terms under which refunds may be issued for MailFluently subscriptions.

We want you to be satisfied with MailFluently. If the Service does not meet your expectations, we offer a straightforward refund process as described below.

2. Subscription Refund Policy

2.1 Monthly Subscriptions (Starter $5/month, Pro $12/month)

If we introduce annual plans in the future, the refund window will be 14 days from the date of purchase.

3. How to Request a Refund

To request a refund within the eligible period:

  1. Email us at support@mailfluentlyai.com with the subject line "Refund Request."
  2. Include your account email address and the date of purchase.
  3. We will process your refund within 5-10 business days.

Refunds are issued to the original payment method. Processing times may vary depending on your bank or payment provider.

4. Cancellation Policy

  • You can cancel your subscription at any time through the Billing page in your account settings.
  • Cancellation takes effect at the end of your current billing period — not immediately.
  • You will retain full access to paid features until your billing period ends.
  • After your billing period ends, your account will be downgraded to the Free plan.
  • There are no partial refunds or pro-rated refunds for unused time within a billing period.

5. Non-Refundable Situations

Refunds will not be issued in the following cases:

  • Requests made after the eligible refund period (7 days for monthly, 14 days for annual).
  • Change of mind after the refund period has expired.
  • Account suspension or termination due to violation of our Terms of Service or Acceptable Use Policy.
  • Dissatisfaction with AI-generated content quality (as AI outputs are inherently variable).
  • Failure to cancel before the auto-renewal date.

6. Polar Merchant of Record

As our Merchant of Record, Polar retains independent authority to issue refunds within 60 days of purchase, regardless of our refund policy. This authority exists primarily to handle chargeback prevention and consumer protection.

Key points about Polar's role:

  • Polar may independently approve refund requests to prevent chargebacks.
  • Payment processing fees are not refunded when a refund is issued.
  • Polar's refund decisions are final and may differ from our stated policy.

7. Data After Cancellation or Refund

  • After cancellation: Your data (email history, preferences) is retained for 30 days. You can resubscribe within this period and restore your data.
  • After refund: Your account is immediately downgraded to the Free plan. Your data remains accessible.
  • After 30 days of inactivity following cancellation: All data is permanently deleted and cannot be recovered.

8. Free Plan

The Free plan is provided at no cost and is not subject to this Refund Policy. Free plan users can access the Service with daily usage limits (1 email generation per day) without any payment obligation.

9. Changes to This Policy

We may update this Refund Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. Changes will not apply retroactively to purchases made before the change.
